Order Specialist, Irvine

Reporting to the Sales Operations Manager, the Order Specialist will support AudioQuest domestic USA dealers and markets. The specialist will be responsible for collecting and reviewing orders, resolving stock issues, handling order entry, and ensuring order confirmation. This position will require frequent contact with warehouse staff, the Finance Department, our customers, and Regional Sales Managers to ensure orders are processed in a timely and accurate manner.

Key Responsibilities

  • Order data entry in SAGE 100 ERP sales order system.
  • Communicate directly with customers regarding order details and status.
  • Collaborate with the sales team, freight forwarders, and warehouse staff.
  • Monitor progress of order fulfillment to ensure orders are processed within approved timelines.
  • Additional order administration projects as required.
  • Create and maintain orderly files.
  • Select order items from a wide array of complex inventory items.

Required Qualifications

  • High school degree or equivalent.
  • Minimum three years customer service experience.
  • Minimum three years order data entry experience.
  • Excellent time-management skills and ability to work independently.
  • Flexibility to manage routine duties with frequent interruptions. \
  • Type 40 wpm.
  • Fluent in English (speech and writing).
  • Superior phone and email etiquette and ability to deal effectively with internal or external customers, peers, and management.
  • Proficiency in Microsoft software applications including Outlook, Word, Excel, and Access.
  • Proactive and positive attitude.
  • Problem-solving ability to make good decisions without much supervision.
  • Detail oriented – able to detect and respond to customer nuance and preference.
  • Strong work ethic – maintains a high level of dedication, reliability, and persistence, ensuring tasks are completed efficiently and to the highest standard, even under pressure.

Desired Qualifications

  • Experience in consumer electronics industry.
  • Experience with made-to-order or custom goods.
  • Experience with SAGE 100 ERP (MAS 90 or MAS 200).

  • Pay rate starting from $30/hour.

Hours and Location

  • This full-time position is based in our Irvine, CA, headquarters.
  • Monday-Friday, 8:00am-4:30pm (includes 30-min. lunch).
